Privacy Policy
Effective date: August 21, 2026
This Privacy Policy explains how Lift Aero Partners Inc. of 3112 Watson Green SW, Edmonton, Alberta T6W 0P2, Canada (“Lift Aero”, “we”, “us”) collects, uses, discloses, and protects personal information through the Lift Aero Partners client platform at liftaero.ca and its related notifications (the “Platform”). It also covers invoicing carried out through the Platform on behalf of our affiliate Great Circle Aviation Inc., and the details you send us through the contact form on our public website, which we use only to respond to you. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Alberta’s Personal Information Protection Act (PIPA).
1. Information we collect
We collect information you or your organization provide, and information generated by operating flights and the Platform itself:
- Identity and contact: name, email, phone number, home address, date of birth, nationality, and profile photo.
- Travel documents: passport details and images, and CANPASS documents, used for customs and border requirements on flights we operate.
- Crew qualifications: for pilots and crew — licence details, aviation medical certificate information, training records, and flight, duty, and rest records required by the Canadian Aviation Regulations.
- Operational details: passenger weight (required for aircraft weight and balance), passenger and crew manifests, itineraries, and saved signatures used to sign operational documents.
- Safety information: safety reports and fatigue declarations submitted through our safety management system, which may identify the reporter unless filed confidentially.
- Billing and expenses: invoices, expense receipts, reimbursement references, and billing contacts. We do not store payment card or bank account numbers.
- Communications: a log of emails and text messages the Platform sends you, including their content and delivery status.
- Technical: sign-in activity, essential session cookies, and passkey credentials if you register one. We do not use analytics or advertising trackers.
2. How we use it
- operating, scheduling, and documenting flights, including manifests and itineraries;
- meeting legal and regulatory obligations, including under the Canadian Aviation Regulations and customs and border requirements;
- running our safety management system;
- invoicing, accounting, and expense reimbursement;
- sending service notifications by email and SMS (you can adjust notification preferences in your profile);
- securing the Platform, authenticating users, and preventing unauthorized access; and
- maintaining backups and business records.
The Platform includes limited AI-assisted features (for example, reading details from uploaded expense receipts, and an internal assistant available to staff). These use a third-party AI provider under contract; the provider does not use our data to train its models.
3. When we share it
We do not sell personal information. We share it only as needed to operate flights and the Platform:
- Regulators and authorities where required — for example customs and border agencies for international flights, and Transport Canada.
- Operational counterparties such as handling agents and FBOs, limited to what a specific flight requires.
- Within your account: people with delegated access to your account, and crew assigned to your flights, can see the operational details relevant to them.
- Service providers who process data on our behalf under contract: hosting, database, and file storage (Vercel, Neon), email delivery (Resend), SMS delivery (Twilio), accounting integration (Intuit QuickBooks Online), aircraft position data (Flightradar24), document libraries (Microsoft), AI processing (Anthropic), and encrypted off-site backups (Backblaze).
Some of these providers store or process data outside Canada, primarily in the United States. While outside Canada, information is subject to the laws of those jurisdictions. We use providers with appropriate contractual and security safeguards.
4. Retention
We keep personal information for as long as needed for the purposes above, and for the record-keeping periods aviation, tax, and other laws require — many operational and billing records must be retained for several years. Communication logs are retained as part of our operational records. Encrypted backups are kept on a rolling schedule (daily backups for roughly 30 days, monthly backups for roughly one year), so deleted data may persist in backups for a limited time before cycling out.
5. Security
We protect personal information with measures including encryption in transit and at rest, hashed passwords, support for passkey sign-in, role-based access controls so users see only what their role requires, encrypted off-site backups, and logging of sensitive operations. No system is perfectly secure; if a breach creates a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law.
6. Cookies
The Platform uses only essential cookies: a session cookie that keeps you signed in (expiring after 24 hours) and related security cookies. There are no advertising, analytics, or cross-site tracking cookies.
7. Your choices and rights
- Access and correction: much of your information is visible and editable in your profile. You may also request access to, or correction of, your personal information by contacting us.
- Notifications: you can turn email and SMS notifications on or off in your profile. Some service messages (such as password resets) are sent regardless.
- Withdrawal and deletion: you may ask us to delete your information or withdraw consent, subject to the retention the law requires and to our ability to keep operating services for you.
- Complaints: if you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta.
8. Children
The Platform is not directed to children, and we do not knowingly create accounts for minors. Passenger records for minors travelling on our flights (such as manifest and travel-document details) are provided and managed by a parent, guardian, or the account arranging the flight.
9. Changes to this policy
We may update this policy from time to time. The effective date above reflects the latest revision, and material changes will be communicated through the Platform or by email.
10. Contact
Privacy questions and requests: info@liftaero.ca, or Lift Aero Partners Inc., 3112 Watson Green SW, Edmonton, Alberta T6W 0P2, Canada. Use of the Platform is also governed by our Terms of Use.
